We reimagined the onboarding experience for a leading healthcare technology provider’s EHR platformdesigning a guided, self-service web application that made the shift from legacy workflows to modern digital health systems intuitive, fast, and simple.  

The customer is a healthcare technology leader that provides advanced Electronic Health Record (EHR) and practice management solutions to hospitals, clinics, and medical practices worldwide. Their platforms help healthcare organizations digitize patient data, streamline clinical workflows, and improve care coordination through intelligent, data-driven systems. 

Challenge

Medical practices often struggled to transition from legacy, manual workflows to electronic health records due to complex setup processes and steep learning curves. Our client recognized this pain point and sought an onboarding experience that would support users instead of overwhelming them – something that would make clinicians and administrative staff feel guided, confident, and equipped at every step.  

Solution

We envisioned and built a “TurboTax”-style guided onboarding experience – a self-service web application that walks users through EHR setup in simple, conversational steps. Drawing from in-depth user research, workflow mapping, and iterative usability testing, the solution featured:

  • Interactive wizard guides and questionnaires that adapt dynamically adapt to the user inputs 
  • Step-by-step navigation mirroring real clinical and billing workflows 
  • Built-in help prompts and tooltips that reduce the need for support teams
